Subject: Office space

Mr. Knight,

I’m contacting you with regard to an important matter. Your secretary said that email would be the
easiest way to get hold of you while you’re away at the management seminar.

There is an urgent lack of space on the 3rd floor where the customer services team is based. All
of the desks on our floor are currently occupied. The problem is that three new employees are due to start in my team next month. We need to find some space to put these extra workers, preferably
close to where the customer services team is currently based. Please let me know any
suggestions you have about where they can work. This situation should be sorted out as soon as possible, because I have to begin planning the orientation courses and training programs for
these new employees.

Hi Andrea,

I understand that the situation is serious, but I’m afraid I have some bad news – there are no
empty desks anywhere else in the building. The company has been expanding so quickly over the last couple of years that we have actually filled up the 5-story building. The only extra space I can think of using is on the 4th floor, where the meeting rooms are located. I’ll have the facilities team
set up a temporary workstation for the new employees in one of these rooms.

I realize that this is not an ideal solution. I’m sure you would much prefer for all of your employees
to be working in the same area. But please bear in mind that this will only be for a short period of
time. We will soon search for a larger office space to relocate to, and we plan to move by the end
of next month. I can assure you that the customer services team will be seated together in the new office.

If you want further clarification on this matter once I get back to the office, please feel free to ask
me.
